Rooted Calm Hypnotherapy — Tamara Miller

These Terms & Conditions outline the agreement between you (“the client”) and Rooted Calm Hypnotherapy, operated by Tamara Miller, regarding the provision of hypnotherapy services online and in person.

By booking a session, you acknowledge that you have read, understood, and agreed to these terms.

1. Nature of Services

Rooted Calm Hypnotherapy provides hypnotherapy services designed to support wellbeing, emotional regulation, confidence, behavioural change, and mind–body balance.

Hypnotherapy is a complementary therapy and is not a substitute for medical or psychiatric treatment.

If you are currently receiving treatment from a GP, psychiatrist, or mental health professional, you may be asked to obtain consent before beginning hypnotherapy.

2. Professional Conduct

Tamara Miller is a qualified hypnotherapist and a member of the National Hypnotherapy Society.

All sessions follow professional ethical guidelines, including boundaries, confidentiality, safeguarding, and record-keeping.

Clients will always be treated with respect, compassion, and non-judgment.

3. Session Format & Duration

  • Sessions last up to 50 minutes unless otherwise agreed.

  • Sessions may take place online (via Zoom) or in person (Poole, Bournemouth, Parkstone, or Wareham).

  • Online clients are responsible for ensuring a quiet, private space where they will not be disturbed.

4. Payment

  • Payment is required at the time of booking.

  • Package fees must be paid in full unless a payment plan has been agreed.

  • Fees may be updated periodically with notice.

5. Cancellation & Rescheduling

  • Online Sessions

For online sessions, the following cancellation policy applies:

48+ hours’ notice:
You may cancel or reschedule without charge.

24–48 hours’ notice:
50% of the session fee is payable, or 50% of that session may be deducted from your package.

0–24 hours’ notice or no-show:
The full session fee is payable, or the session will be counted as used within your package.

  • In-Person Sessions

For in-person sessions, I book the therapy room/venue in advance.

The venue requires 4 weeks’ notice for cancellations or changes. This means that if you cancel or reschedule an in-person session with less than 4 weeks’ notice, and I am unable to cancel or recover the room hire cost, a non-refundable venue cost of £25 will apply.

For in-person sessions, the following cancellation and rescheduling policy applies:

4+ weeks’ notice:
You may cancel or reschedule without charge.

48 hours–4 weeks’ notice:
You may cancel or reschedule without paying the session fee, but a £25 non-refundable venue cost will apply if the room booking cannot be cancelled or refunded.

24–48 hours’ notice:
50% of the session fee is payable, or 50% of that session may be deducted from your package. A £25 non-refundable venue cost will also apply if the room booking cannot be cancelled or refunded.

0–24 hours’ notice or no-show:
The full session fee is payable, or the session will be counted as used within your package. A £25 non-refundable venue cost will also apply if the room booking cannot be cancelled or refunded.

6. Confidentiality

Everything shared within sessions is confidential except in cases where:

  • there is a risk of serious harm to you or others

  • there is a risk involving a vulnerable adult or child

  • legal requirements mandate disclosure

Where possible, concerns will be discussed with you first.

7. Suitability for Hypnotherapy

Hypnotherapy may not be appropriate for individuals with certain mental health conditions (including psychosis, mania, or specific psychiatric diagnoses).

If this applies, you may be referred back to your GP or another qualified professional.

8. Client Responsibility

By booking a session, you agree to:

  • attend sessions sober and free from substances

  • provide accurate personal information

  • engage actively and honestly in the therapeutic process

  • notify Tamara of any changes to your physical or mental health

9. Liability Disclaimer, Assumption of Risk & Online Sessions

While hypnotherapy can be deeply beneficial, outcomes cannot be guaranteed.

You accept full responsibility for your emotional and physical wellbeing during and after sessions.

By booking and participating in any session, event, workshop, retreat, or activity offered by Rooted Calm Hypnotherapy, facilitated by Tamara Miller, you acknowledge and agree to the following:

Participation in all services is undertaken entirely at your own risk.

While every reasonable effort is made to provide a safe, professional, and supportive environment, Rooted Calm Hypnotherapy accepts no liability for any injury, loss, illness, emotional response, or adverse outcome that may occur during or after participation.

This includes, but is not limited to:

  • physical injury or strain

  • emotional or psychological responses

  • aggravation of existing medical or mental health conditions

  • the development of new medical or psychiatric conditions

  • allergic reactions or illness arising from food or drink provided

  • responses to guided meditation, visualisation, hypnotherapy, or related practices

Online Sessions & Client Responsibility

For online hypnotherapy sessions, you are responsible for ensuring that:

  • you are in a safe, quiet, private, and confidential environment

  • you will not be disturbed for the duration of the session

  • you have a stable internet connection and suitable device

Hypnotherapy sessions, recordings, or guided practices must not be listened to or undertaken while engaging in any other activity that could place you or others at risk. This includes, but is not limited to:

  • driving or being in control of a vehicle

  • cycling

  • operating machinery

  • exercising or walking in public spaces

You agree to take full responsibility for how and when you engage with hypnotherapy content.

Health & Personal Responsibility

You are responsible for ensuring that you are physically and mentally fit to participate and for disclosing any relevant medical conditions, mental health diagnoses, medications, injuries, or vulnerabilities prior to taking part.

Rooted Calm Hypnotherapy does not accept responsibility for loss, theft, or damage to personal property during sessions.

All therapeutic and wellbeing services are offered as complementary support and are not a substitute for medical, psychiatric, or emergency care. Outcomes cannot be guaranteed.

By participating, you confirm that you do so voluntarily and accept full responsibility for your own wellbeing during and after sessions or activities.
