At Rooted Calm, I aim to provide a therapeutic environment that is safe, respectful, and supportive for every client.

The following policies ensure clarity, protect both of our time, and help maintain a stable and reliable practice.

1. Payment Policy

When Payment Is Due

  • Payment is required at the time of booking to secure your appointment.

I aim to make therapeutic support accessible wherever possible.

2. Cancellation & Rescheduling Policy

Your session time is reserved specifically for you. To protect this time and allow others a chance to book, the following policy applies:

  • 48+ hours’ notice: no fee. You may cancel or reschedule without charge.

  • 24–48 hours’ notice: 50% of the session fee is payable

  • 0–24 hours’ notice or no-shows: the full session fee is payable

How to Cancel or Reschedule

Please notify me via email as soon as possible:

Late Arrivals

If you arrive late (online or in person), the session will still end at the scheduled time. This ensures the smooth running of all appointments.

If you arrive more than 10 minutes late, the session will be cancelled and charged in full. This is because the remaining time would not allow us to work in a meaningful or therapeutic way, and it would not be in your best interest to continue with a shortened session.

Compassionate Exceptions

I fully understand that emergencies and unexpected situations arise. If this happens, please contact me — I approach all genuine emergencies with compassion and flexibility.

3. Refund Policy

Single Sessions

Payments for single sessions are non-refundable, except where cancellation is made more than 48 hours in advance.

Packages

Packages are non-refundable after the first session has been used.

Therapist Cancellations

If I need to cancel or reschedule a session for any reason, you will be offered the next available appointment, and no charges will apply.

If you have prepaid for a session that I must cancel, you may request a full refund.
