At Rooted Calm, I aim to provide a therapeutic environment that is safe, respectful, and supportive for every client.

The following policies ensure clarity, protect both of our time, and help maintain a stable and reliable practice.

Online Sessions

For online sessions, the following cancellation policy applies:

48+ hours’ notice:
You may cancel or reschedule without charge.

24–48 hours’ notice:
50% of the session fee is payable, or 50% of that session may be deducted from your package.

0–24 hours’ notice or no-show:
The full session fee is payable, or the session will be counted as used within your package.

In-Person Sessions

For in-person sessions, I book the therapy room/venue in advance.

The venue requires 4 weeks’ notice for cancellations or changes. This means that if you cancel or reschedule an in-person session with less than 4 weeks’ notice, and I am unable to cancel or recover the room hire cost, a non-refundable venue cost of £25 will apply.

For in-person sessions, the following cancellation and rescheduling policy applies:

4+ weeks’ notice:
You may cancel or reschedule without charge.

48 hours–4 weeks’ notice:
You may cancel or reschedule without paying the session fee, but a £25 non-refundable venue cost will apply if the room booking cannot be cancelled or refunded.

24–48 hours’ notice:
50% of the session fee is payable, or 50% of that session may be deducted from your package. A £25 non-refundable venue cost will also apply if the room booking cannot be cancelled or refunded.

0–24 hours’ notice or no-show:
The full session fee is payable, or the session will be counted as used within your package. A £25 non-refundable venue cost will also apply if the room booking cannot be cancelled or refunded.

In-Person Package Sessions: Ending Sessions Early

If you book an in-person hypnotherapy package, I may book the venue in advance for your agreed session dates.

If you decide to stop your package early, cancel future sessions, or reschedule future sessions with less than 4 weeks’ notice, any non-refundable venue costs already incurred may be deducted from any refund owed for unused sessions.

Where I am able to cancel the venue booking without charge, no venue cost will be deducted.

Sessions that have already taken place are non-refundable.

Payment Plans

Payment plans may be available for hypnotherapy packages by prior agreement.

If you would like to pay in instalments, please contact me before booking so we can agree a payment schedule in writing: tamaramillercounselling@gmail.com

All agreed instalments must be paid by the agreed dates. If an instalment is missed or delayed, future sessions may be paused until payment has been received.

If you are paying by instalments and decide to stop your package early, you will still be responsible for the cost of:

• any sessions already taken

• any late-cancelled or missed sessions that are chargeable under the cancellation policy

• any non-refundable venue costs already incurred for in-person sessions

• any agreed payments due for services already provided or costs already incurred

Payment plans are offered to make support more accessible, but they do not remove responsibility for sessions already received or costs already incurred.

Late Arrivals

If you arrive late, either online or in person, the session will still end at the scheduled time. This ensures the smooth running of all appointments.

If you arrive more than 10 minutes late, the session may be cancelled and charged in full (+ £25 venue costs for in-person session) or counted as used within your package. This is because the remaining time would not allow us to work in a meaningful or therapeutic way, and it would not be in your best interest to continue with a significantly shortened session.

Compassionate Exceptions

I fully understand that emergencies and unexpected situations can arise.

If this happens, please contact me as soon as possible. I approach genuine emergencies with compassion and flexibility.

How to Cancel or Reschedule

Therapist Cancellations

If I need to cancel or reschedule a session for any reason, you will be offered the next available appointment, and no charges will apply.

If you have prepaid for a session that I must cancel, you may request a full refund.
